Building Communities of Stewardship Around Your Data - Step 4

We’ve spent the past 3 days slowly setting the stage for our Data Community Formation. We’ve strategically combed through the landscape of our enterprise to identify, engage and confirm people with ‘best-fit DNA’ to help kickoff required cultural transformation for effective Data Governance activation and adoption in their local data communities. We spent each day strategically layering out practical tips and guidelines for building local communities around our data asset to help ignite the desired stewardship of due diligence and standards of care activities around our data. Today, we’re going to build upon this formation with step 4, working with our ‘dream team’ of confirmed community members/leaders that are going to help champion our governance activities.

Step 4. Hold Kickoff Meeting with Ratified Community Members

Once you have had the opportunity to sit down with each community member and create a 1:1 synergy for the governance activities you’re about to embark on. It is important you setup an Official Kickoff Meeting for all Ratified Community Members to meet and draw from each other’s energy. This will be the first official meeting for each Community Stewardship Team to meet as a group and start putting their internal execution plan together. i.e. the creation of working groups and meeting schedules.

This will be a good forum for you to further articulate each role and responsibilities and the importance of their roles in the governance execution. You will need to restate the goals and objectives of the Data Governance adoption. What this means to the organization and the key benefits of this to their data community. Tailoring this to each community's biggest ‘pain-points’ will resonate better for all community members. Highlighting needed collaboration from each team member for a successful governance execution and adoption in their community to make this a win-win for all.

You will need to use this forum to set the stage for needed training they’ll receive around their roles and responsibilities to further equip them to be successful in their adoption journey. The following are a few guidelines to incorporate into each Data Community kickoff meeting.

Plan Kickoff Meeting Logistics

o  Hold Meeting with members in-person

o  Ensure every member of the majority of the members are able to attend

o  Invite Group Head or The Most senior executive in each Data Community to attend this kickoff meeting. This is a great morale booster for community members that they have executive buy-in and the recognition from senior management.

o  Meeting should be for at least an hour to allow sufficient time to cover all the material

o  Distribute Agenda with role cards 24 hours ahead of the meeting to allow members to come ready and better prepared.

o  Allow the Community Lead Steward to facilitate this kickoff meeting and officially set the tone for his/her community. Another member of the stewardship team can be the scribe

o  Allot some time at the end of the meeting to allow unstructured discussion.

o  Ensure notes are distributed following the meeting and action items are captured and followed up.

Set Objectives of Kick-Off Meeting

o  Introduce the members of the Data Community to one another

o  Provide an opportunity to discuss questions about Data Governance and the role of the Data Community

o  Establish the Data Community as an operational entity with real tasks and deliverables

o  Set expectations in terms of objectives, timelines, and key deliverables

In a nutshell, the summarized goal for your official Community Formation Kickoff is to:

·   Outline the objectives of each community formation as the drivers for governance adoption in their community.

·   Define Community Stewardship rhythm of operation

·   Highlight Key activities and provide opportunities for members to ask questions

·   Review execution plan, roadmaps, and touchpoints

·   Officially plan out details of the community’s readiness to activate governance execution.
